What we collect, why we collect it, and what you can ask us to do about it.

1. Who we are
Business OS is operated by Will Perez Ltd, a company registered in England and Wales. For the personal data described below, Will Perez Ltd is the data controller. You can reach us at hello@mybusinessos.co.uk.
2. What we collect
When you join the waitlist. Your email address, and the date you joined.
When you connect Notion.Through Notion's OAuth flow we receive an access token for your workspace, your workspace name and identifier, and the name and email on your Notion account. The access token is encrypted before it is stored.
When you set up your business. Your business name, contact details, addresses, the kind of work you do, your currency and billing preferences, your tax or VAT identifier, and any additional context you choose to give us.
From your Notion workspace. The project records you set to Pitching: project names, your notes and briefs, client names and email addresses, and agreed fees.
From your clients. When your client opens the portal you send them, they may give us their name, email address, phone number, billing address, business name, purchase order number and tax identifier, along with any comments they leave and the name they type to sign the contract.
3. Your clients' data
This is the part worth reading carefully. When your client submits their details or signs a contract, you decide what is collected and why — you are the controller of that data, and we process it on your behalf in order to provide the service to you. We do not use your clients' information for our own purposes, and we do not contact your clients except to deliver the messages you ask us to send.
4. How we use it

- To write status updates back into your own Notion workspace

5. Support access, and what we keep
We keep a record of what happens on your account: when you connected, when a proposal was drafted, sent or signed, when an invoice went out, and when something failed. It is how we notice that your drafting has broken before you have to tell us. That record holds states, counts and error messages. It does not hold your clients' names, addresses or the contents of your documents. We keep it for twelve months and then delete it.
Our own support screens show your account and the state of your projects. Your clients' names and email addresses are hidden there by default. Where a problem cannot be diagnosed without seeing one, revealing it is a deliberate action and is itself recorded, so there is always a record of what was looked at and when. We do not read the contents of your proposals or contracts for support, and we never use your clients' data for our own purposes.
We look at how customers use the product in aggregate — how many businesses of a given kind, which currencies are common, where people get stuck in setup. Those are counts, not records about you, and we do not build advertising audiences from your details or your clients'.
6. Who we share it with
We use a small number of providers to run the service: Vercel for hosting, Neon for the database, Anthropic for drafting proposal content, Resend for sending email, and Notion for the connection to your workspace. Each receives only what it needs to do its job. We do not sell personal data, and we do not share it for advertising.
7. How long we keep it
For as long as your account is active. If you ask us to close it, we will delete your data and your clients' data, except where we are required to keep records — invoices and signed contracts, for example, generally have to be retained for accounting and legal reasons.
8. Where it is stored
Our database and hosting are provided by Neon and Vercel. Some of our providers process data outside the UK and European Economic Area; where they do, appropriate safeguards are in place.
9. Your rights
You can ask us for a copy of your data, to correct it, to delete it, or to restrict or object to how we use it. Write to hello@mybusinessos.co.ukand we will respond within a month. If you are unhappy with our answer you can complain to the Information Commissioner's Office.
If you are a client of one of our customers and want your data removed, please ask them first — it is their data to control, and they can act faster than we can.
10. Cookies
We set one cookie, to keep you signed in after you connect Notion. It is signed, it does not carry your Notion access token, and we do not use advertising or analytics cookies. Client portals set no cookies at all.
11. Children
Business OS is a tool for businesses and is not intended for anyone under 18.
12. Changes
If we change this policy we will update the date at the top, and tell you directly if the change is significant.
